About the Executive Administrative Assistant position
The Executive Assistant is a multi-faceted role designed to support the daily operational functions of Upward Broadband. This position requires a proactive professional who is equally comfortable managing complex documentation (RFPs, COIs, and safety logs) and executing the physical logistics of events and company functions. The ideal candidate is highly organized, detail-oriented, and possesses the physical stamina required for event setup and equipment management.

What we are looking for in an Executive Administrative Assistant
You Should Be
- Highly Organized & Detail-Oriented: You thrive on keeping things in order, whether that means maintaining accurate digital tracking logs, coordinating calendars, or ensuring organizational compliance.
- Physically Active & Hands-On: You are comfortable periodically jumping in to pack/unpack event bins and physically assemble location-specific equipment like tents, chairs, and lighting.
- A Versatile Multitasker: You can effortlessly pivot from supporting the drafting of formal Professional Service Agreements to tracking fleet vehicle registrations or ordering door-to-door sales assets.
- A Culture Champion: You are welcoming and engaging, ready to greet front-office visitors, prepare new-hire welcome bags, and plan memorable internal company events (from summer picnics to the annual holiday banquet).
- Adaptable & Proactive: You anticipate needs before they arise, whether its noticing office supplies are low, managing ongoing marketing inventory, or tackling other duties as assigned.
- Committed to an In-Office Environment: You enjoy working collaboratively with teammates and are available to work on-site five days a week.
- Flexible & Dependable: You can consistently work approximately 20-29 hours per week, with daily start and end times determined on business needs.
- Comfortable with Future Workplace Transitions: You are able to work from our Lancaster office and are willing to transition to our new office location in Mount Joy when it opens in late 2027.
You Should Have
- Strong Administrative Capabilities: Experience managing front-office duties, processing mail, coordinating meetings, and taking accurate, reliable notes.
- Compliance & Management Skills: The ability to generate and file Certificates of Insurance (COIs) for subcontractors, integrate safety summaries, and keep up-to-date vehicle maintenance and registration records.
- Event & Logistics Experience: The ability to manage the full lifecycle of events—handling site-specific paperwork, confirming logistics, communicating to those involved and managing event supplies.
- Document & Contract Tracking Skills: The ability to assist in the development and rigorous tracking of Requests for Proposals (RFPs), Professional Service Agreements (PSAs), and Service Work Orders (SWOs).
- Operational Finance Aptitude: The ability to prepare Purchase Orders (POs) and confidently manage and update operational tracking spreadsheets.
- Marketing Collateral Coordination: The ability to order, manage, and track the distribution of promotional materials like signage, door hangers, and business cards.
Requirements & Qualifications
- Technical Skills: Proficiency in Google Workspace (Sheets/Docs) and experience managing and creating digital tracking logs or databases.
- Physical Ability: Must be able to pack, lift, and assemble event equipment (tents, chairs, etc.) in various outdoor/indoor environments.
- Organization: Proven ability to manage multiple deadlines and document types simultaneously without loss of accuracy.
- Communication: Strong written and verbal communication skills.
