Role Description
We are seeking a highly motivated Marketing & Pursuit Coordinator to support our proposal and interview efforts across a diverse range of public-sector projects, with additional opportunities to contribute to broader marketing initiatives. This role is primarily focused on pursuits (proposals, interviews, and strategy for project opportunities), with a meaningful portion of time dedicated to supporting the firm's marketing and brand efforts.
In this role, you'll collaborate closely with the Director of Marketing, firm Principals, marketing team, and technical staff to develop thoughtful, well-crafted proposals and presentations that reflect COAR's values, experience, and community impact. You'll also help shape how the firm tells its story externally, supporting content, communications, and brand-building work alongside your pursuit responsibilities.
With exposure to pursuits across our specialized practice areas, including public safety, libraries, animal care, and aquatics, you'll gain valuable insight into the pursuit process while building skills that support long-term professional growth. Responsibilities
Pursuit (majority of role)
- Manage multiple concurrent project pursuits, ensuring on-time, compliant delivery with minimal oversight.
- Track, maintain, and organize active pursuits to support efficient proposal development.
- Assist in the Go/No-Go decision-making process.
- Coordinate and lead recurring and ad-hoc pursuit meetings, ensuring alignment across teams.
- Communicate team capacity and workload to leadership, facilitating informed resource allocation.
- Collaborate with technical staff to develop compelling proposal responses, including scopes of services, approaches, and fee proposals.
- Enhance and maintain proposal narratives, implementing a system for consistent updates and improvements.
- Develop and maintain in-house proposal assets, including resumes, project descriptions, and other marketing materials.
- Develop and execute the interview outline and strategy, while managing the development of the presentation deck to ensure alignment with the project's objectives and key considerations.
- Work closely with the Marketing Director to develop and maintain the pursuit process manuals and training guides.
- Delegate and coordinate pursuit-related tasks among the marketing team and architecture staff members to optimize workflow.
- Responsible for the printing, assembly, and shipping of proposals to ensure timely and professional delivery.
- Assess and refine current pursuit processes, providing strategic recommendations for improvement.
Marketing (partial role)
- Support the marketing team in organizing and producing strategic marketing deliverables.
- Assist in the development of social media content as needed to enhance brand visibility.
- Collaborate with management to develop marketing initiatives that align with company objectives and support high-priority pursuits.
- Support marketing communications, including content creation for the website, newsletters, and social media.
- Maintain and update general marketing materials to ensure consistency and brand alignment.
- Respond to various writing, editing, and image requests to support marketing and pursuit efforts.
- Support the marketing team on special projects and initiatives as needed.
Qualifications
- 3+ years of marketing and/or pursuit/proposal coordination experience
- Bachelor's Degree preferred
- Proficiency in Adobe InDesign, preferably with the entire Adobe Creative Suite
- Demonstrated proficiency in editing technical writing, reviewing, and proofreading materials for content, grammar, and style
- Outstanding writing, proofreading, and editing skills
- Strong sense of urgency with the ability to manage and meet deadlines, and handle multiple tasks at a time
- Detail-oriented and a creative mindset
- Able to receive constructive feedback
- Strong time management and organizational skills
- Passion for working as part of a collaborative team
- Ability to communicate effectively, including seeking clarification when needed, and providing status updates on assigned tasks
- Proficient in working within brand guidelines
- Comfortable balancing deadline-driven pursuit work with ongoing marketing initiatives
Pay range is $75,000/yr–$90,000/yr.

This position is primarily based in an office environment, working with computers and remaining sedentary for long periods of time. Field work may include exposure to the elements, including inclement weather.
