Executive Assistant - Investment Management

We are seeking candidates for an Executive Assistant position with an elite investment management firm located in Boston, MA. In this role, the Executive Assistant will provide high-level support to senior leadership, managing complex calendars, coordinating internal and external meetings, and arranging both domestic and international travel. The ideal candidate will have 2+ years of executive or administrative support experience within a professional services environment.

This position will pay a base salary of $85,000 - $95,000 (depending on experience). This position offers a hybrid work model, onsite 4 days per week in their Boston office.

Responsibilities

  • Manage complex executive calendars, prioritizing schedules, resolving conflicts, and maximizing executive productivity.

  • Coordinate internal and external meetings, including logistics, agendas, materials, catering, technology, and follow-up actions.

  • Arrange domestic and international travel, including flights, accommodations, ground transportation, itineraries, and last-minute changes.

  • Prepare presentations, meeting materials, reports, research, and other executive documentation.

  • Leverage Microsoft Office Suite (Outlook, Teams, OneNote, SharePoint, Excel, PowerPoint) and AI tools such as Copilot to improve efficiency and streamline workflows.

  • Maintain organized systems for calendars, email, travel, documentation, and recurring administrative processes.

  • Build and maintain strong relationships with executives, internal teams, investors, vendors, and external partners.

  • Provide backup support to other Executive Assistants and ensure seamless coverage during absences.

  • Handle highly confidential information with discretion, sound judgment, and professionalism.

  • Support special projects, onboarding activities, team events, visitor coordination, reporting, and continuous process improvements.

Qualifications

  • Bachelor’s degree in a related field required.

  • 2+ years of executive or administrative support experience, preferably within professional services, investment management, financial services, or another fast-paced corporate environment.

  • Proven experience supporting multiple executives or stakeholders with competing priorities and complex scheduling demands.

  • Advanced proficiency in Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint, OneNote) with an interest in utilizing AI tools to enhance productivity.

  • Exceptional organizational skills and attention to detail

  • Self-motivated with the ability to prioritize, work independently, and appropriately escalate issues when needed.

  • Strong interpersonal and communication skills
