Overview

Reporting to the Director of Operations, the Production Manager is responsible for the production needs throughout SFFILM’s Fall season. They are responsible for managing all SFFILM inventory, including storage, furniture rentals, sponsored product, vehicles, and operations and production equipment. The Production Manager creates a detailed production schedule for all events, scheduling and supervising Production Assistants, and coordinating load in and load outs.

This role will work closely with every member of the Operations team on the production needs for theaters, events, and hospitality spaces for our four day 2026 Doc Stories program, and will be the lead Production Manager for SFFILM Awards Night, working closely with our Event Coordinator and other vendors. Along with these two major programmatic touchstones, the Operations department supports a handful of SFFILM Presents screenings throughout the season.

This is a great role for someone who enjoys the satisfaction of a very physical role, but also requires a highly organized and detail oriented project manager, as they will be coordinating the minute details of production needs across multiple departments.

Application review begins July 27, but will be rolling after that. SFFILM currently supports a hybrid-remote schedule, with an average of 3 days a week in the San Francisco offices, as well as time onsite throughout the Bay Area supporting SFFILM events. This position is required to be based in the Bay Area and is expected to be available to be onsite as needed leading up to and during our 2026 Doc Stories program (November 5 – 8, 2026) and SFFILM Awards Night (December 7, 2026). All staff are expected to work in accordance with in-office requirements as determined by organization-wide and department policies. Some night and weekend availability is required. The start date for this position is October 5, 2026 and the end date is December 18, 2026. This position is salaried at the rate of $1355 per week and is not eligible for overtime.

Responsibilities

  • Create a comprehensive Production Schedule, tracking frequent changes during the lead up to our events, in order to oversee staff, inventory, and vehicle movements in extreme detail
  • Manage all storage spaces and inventory, including updating year round inventory documents
  • Manage the Production Assistance Request Form (PARF) system for all departments, communicating clearly and frequently to make sure all staff understand system protocols and deadlines, running meetings and creating training documents as necessary.
  • Work with the Operations team on all furniture, tech, and production rentals for Doc Stories, Awards Night, and other programs as needed
  • Oversee Load In and Load Out schedules for all venues and events, including theaters and hospitality spaces, and manage all necessary staff communication related to production movements
  • Hire, schedule, and supervise Production Assistants during Doc Stories (2-3 PAs) and Awards Night (3-5 PAs)
  • Work closely with the Development team and contracted Event Manager for Awards Night to oversee the production needs and load in/load out of SFFILM’s portion of Awards Night, in coordination with multiple other large-scale vendors
  • Work with the Operations Manager on reserving parking meters and communication with SFMTA, if needed
  • Manage movements of SFFILM Production vehicles and reserved parking spots during events
  • Manage production budget for all rental, staff, and vehicle needs
  • Work with the Communications team on the production and installation of signage for Doc Stories, Awards Night, and any other events
  • Work closely with the Development team to coordinate delivery of sponsored product
  • Create a written wrap report and summary of all necessary timeline and budget info

Qualifications

  • A valid driver’s license and clean driving record required – offer of this position will be contingent on approval by SFFILM’s insurance
  • Detail-oriented and extremely organized
  • Excellent decision-making and creative problem-solving skills
  • Must be comfortable with Google Suite (Docs, Drive, Sheets) and Excel
  • Ability to easily lift 50 pounds and comfort with regularly moving and lifting heavy equipment
  • Experience liaising with high-touch constituents and balancing competing, and often urgent, needs
  • Experience working in a non-profit professional environment
  • Ability to handle multiple tasks simultaneously, to prioritize effectively, and to respond to last-minute requests
  • Excellent time management skills
  • Possess great energy and efficiency and a cooperative spirit
  • Friendly, welcoming and comfortable interacting with people with vastly different backgrounds and roles.
  • Ability to understand how logistics fits into big picture event goals
  • Basic construction skills
  • Comfort driving in Bay Area and knowledge of Bay Area geography is a plus
