This role is a hybrid HR Administrator and Receptionist position. It will provide front office reception and administration duties, including greeting guests, answering phones, handling company inquiries, picking up and distributing site mail, and checking in visitors. This position will lead regional and global staff travel accommodations and events.
Additional responsibilities will include general Human Resources administrative support, greeting and checking in visitors to the Mesa facility and directing them to the appropriate department, providing visitor badges, scheduling conference rooms, ordering meals for onsite meetings, etc.

Key responsibilities for this role include
Under the direction of the Senior Manager, Human Resources, the HR Administrator will:
- Be responsible for handling front office reception and administration duties, including greeting guests, answering phones, handling company inquiries, picking up and distributing site mail, and checking in visitors.
- Lead travel booking activities to include coordinating with HLUS travel, local transportation needs, and hotel bookings for regional and global executive staff.
- Lead activities related to executive staff dinners, events, etc.
- Lead travel booking requirements for out-of-state job candidates.
- Assist the HR department with the onboarding of new hires, updating job descriptions, and processing Instant Recognition Awards.
- Direct employee HR related inquiries to the appropriate HR staff.
- Assist with company sponsored events and activities including booking conference rooms, making meal arrangements, and getting quotes from vendors
- Processing invoices for payment
- Updating site bulletin boards as needed
- Collecting data from FujiFit equipment for monthly reporting
- Ordering supplies for HR and site
- Perform other administrative duties as required
REQUIREMENTS
- High school diploma or GED with college degree preferred in Human Resources, Business, or related field.
- Minimum of 3-5 years of prior experience in a Human Resources Administrative, Receptionist, or Executive Administrator role.
- Must have strong attention to detail to ensure accuracy of data
- Must have ability to maintain confidentiality
- Must demonstrate and maintain professionalism and ethical work standards
- Excellent verbal and written communication skills with all levels of the organization, including customers, vendors, and contractors.
- Excellent computer skills required to include Microsoft Excel, Word, Outlook, and PowerPoint. ADP, CPro, and SAP a plus.
- Demonstrated ability to manage multiple priorities and tasks with input from various individuals.
