Role Description
We are seeking a highly organized, professional Executive Administrative Assistant to manage day-to-day operations and administrative tasks at our San Diego headquarters. In this role, you will act as a critical operational hub—fielding calls, managing executive calendars, organizing essential reports, and establishing seamless communication between customers and executives.
The ideal candidate thrives in a fast-paced environment, possesses strong project management capabilities, and maintains a team-first attitude to support executive management and deliver excellent customer service.
Key Responsibilities
- Executive Support: Assist executive management; manage day-to-day administrative tasks, schedule appointments, coordinate meetings, and maintain calendars.
- Operations & Project Management: Coordinate all solar installations and service calls with installers. Organize, track, and follow up on all projects, designating tasks to the proper staff to ensure completion.
- Communication: Answer and direct all incoming phone calls with excellent etiquette; establish clear lines of communication between customers, external stakeholders, and executives.
- Documentation & Compliance: Handle permitting and utility company documentation and submissions; organize files, records, reports, and presentations for ease of access.
- Data Management: Oversee company database management and handle routine correspondence.
- Culture: Contribute to creating a positive, collaborative, and high-energy workplace environment.
Qualifications
- Education: Bachelor’s degree or equivalent professional experience.
- Experience: Proven experience in an administrative or executive administrative assistant role, managing executive-level responsibilities with professionalism and discretion.
- Strong clerical, organizational, and scheduling skills with high attention to detail.
- Excellent written and verbal communication skills, including top-tier phone etiquette.
- Proficiency in office software (word processing, spreadsheets, and presentation tools).
- Attributes: Ability to prioritize tasks effectively in a high-intensity, fast-paced environment. A true team player who does what is necessary to support the team and clientele.
