Proactive LTC Consulting is seeking a full time Accounting & Operations Coordinator to support the daily financial and administrative operations of our growing healthcare consulting firm. This role is ideal for someone who enjoys balancing bookkeeping responsibilities with operational coordination in a collaborative, fast-paced environment.

We are a healthcare consulting team guided by the principles of Colossians 3:23 and dedicated to supporting senior care providers through clinical quality, operational, and compliance expertise. This role offers the opportunity to be part of a growing company where your work directly supports both our team and the healthcare provider clients we serve.

The successful candidate will manage accounts payable/receivable, invoicing, payroll support, reconciliations, and a variety of office operations functions while working closely with leadership and office staff. Strong attention to detail and accuracy in financial and administrative tasks, organizational skills, professionalism, discretion, and the ability to manage multiple priorities are essential. The ideal candidate is dependable, positive, team oriented, and comfortable adapting to changing priorities.

The Accounting & Operations Coordinator reports to the Operations Manager and works closely with the Controller.

Job Summary

To support the efficient day-to-day financial and administrative operations of the company.

Responsibilities

Accounting & Financial Operations

  • Process accounts payable and accounts receivable
  • Manage client invoicing and payment tracking
  • Manage payroll administration
  • Reconcile accounts and maintain accurate financial records
  • Process employee expense reports

Operations & Administrative Support

  • Support day-to-day office operations and special projects
  • Coordinate travel arrangements and supply ordering
  • Maintain client contact databases and compliance tracking
  • Respond to incoming calls, emails, and general inquiries

Team & Client Support

  • Support consultants and leadership with administrative needs
  • Maintain confidentiality of client and employee information
  • Assist with customer service and communication coordination

Other duties as assigned

Minimum Requirements

  • 2+ years of experience in bookkeeping, payroll, accounting support, or business operations; Bachelor’s degree in Administration, Business, or Accounting related field or equivalent experience is preferred
  • Proficient in Microsoft Office Suite, including Excel and Microsoft Teams; experience with FreshBooks/QuickBooks or similar, payroll systems, or expense management software is preferred.
  • Ability to work independently while managing deadlines and competing priorities
  • Excellent verbal and written communication skills
