We are seeking a highly motivated individual for the position of Athlete Service Coordinator reporting to Sr Manager, Athlete Services based in our Tampa, Florida office.

The Opportunity

The Athlete Services Coordinator is responsible for supporting key aspects of the athlete experience, including side events, online registration setup, athlete inquiries, website updates, bib allocation, athlete communications, warehouse coordination, and post-race shipping. This role works closely with the Athlete Services team, Race Directors, Operations team, and Marketing team to help ensure a smooth and positive experience for athletes.

Key Responsibilities

Plan Registration Openings

  • Set up registrations in Active and other registration platforms.
  • Coordinate and align with Operations, Marketing, and Communications teams.
  • Work with Partnerships to support complimentary and discounted entries.

Communicate with Athletes

  • Respond to incoming emails and phone calls.
  • Support athlete mailings and communications.
  • Meet service level expectations by ensuring all tickets are answered within two business days.

Assist with Website and Social Media Updates as needed

  • Ensure content is consistent across all platforms and kept up to date.
  • Assist with social media updates when required or when information needs to be announced, with posts managed by the PR/Marketing department.
  • Respond to direct messages received through social media accounts.

Execute Pre- and Post-Event Procedures

  • Inventory non-retail items and print materials.
  • Coordinate and execute packet stuffing.
  • Support the setup and management of Athlete Check-In.
  • Perform race-day duties as needed by the Operations team.
  • Support the awards ceremony and slot allocation process.
  • Coordinate shipping of registration materials, lost and found items, and related materials after each event.
  • Resolve shipping issues related to events.

Support the Athlete Services Team

  • Handle post-race shipping and organization of Athlete Services items in the warehouse.
  • Support pre-race shipping of Athlete Services items from the warehouse.
  • Coordinate non-retail print orders and send to the Manager/Director for approval and submission.
  • Support team inboxes during race weeks and during PTO coverage for Athlete Services Coordinators; travel may be required as needed, although this is primarily a non-travel position.
  • Use internal systems and platforms, including Njuko/TicketSocket, D365, CRM, Microsoft Office, Office 365, and ReQlogic, to support registration setup, athlete communications, purchasing, reporting, and day-to-day operational coordination.

Qualifications & Experience

  • Bachelor’s degree or vocational qualification preferred, ideally in administration, business, sports management, endurance sports, or event management.
  • Internship or relevant experience in sports events, event operations, or customer service preferred.
  • Experience supporting projects or project-based work.
  • Experience in sports or customer service projects is valuable.
  • Team player with the ability to work effectively with, and support, teams of volunteers.
  • Strong communication skills.
  • Ability to adapt to change and solve problems.
  • Ability to prioritize tasks and stay well organized.
  • Strong interpersonal skills.
  • Ability to remain calm under pressure.
  • Proficiency with Microsoft Office.
  • Ability to travel and work at sports events on weekends.
  • Spanish and/or French language skills preferred.

Physical & Equipment Requirements

  • Ability to move, position, transport, and install materials and equipment weighing up to 20 pounds.
  • Perform manual handling tasks, including bending, stooping, twisting, and reaching, associated with event setup, breakdown, and onsite operations.
  • Ability to stay stationary and/or move around the event site for extended periods of time, including during long event days, outdoor conditions, and uneven surfaces.
  • Ability to work in a variety of environments, including indoor and outdoor venues, and in varying weather conditions.
  • Ability to operate or assist with basic event equipment and tools as required for the role.
  • Extended workdays and travel will be required while attending assigned onsite events.
